Introduction

This article has six (6) major sections below. The first and second major sections are associated with OnePager Pro Add-in and Standalone, respectively. The third and fourth major sections are are associated with OnePager Express Add-in and Standalone, respectively. The last two major sections are for OnePager Bundle users. These last two section direct you to the appropriate portions of this article where you can find the instructions for REPLACING a Snapshot in a chart previously created from any one of the source plans supported by OnePager Bundle (i.e., Microsoft Project, Microsoft Excel, Oracle Primavera P6, or Smartsheet).

Overview

Once created, snapshots are saved in the chart’s .TAM file and are organized by snapshot date. Often there is a need to update a snapshot by replacing its task and/or milestone data with updated information. OnePager supports three (3) ways or modes to replace a snapshot.

Dates and Progress Mode

This is the recommended mode. With this mode, OnePager changes all dynamic properties of imported tasks and milestones (e.g. start and finish dates, baseline dates, deadline dates, percent complete, critical path, dynamic color-coding, and conditional formatting properties). OnePager also adds new tasks that were not previously flagged. OnePager does not change task labels in this mode.

All Properties Mode

In this mode, OnePager does everything it does in Dates and Progress mode plus it updates the task name labels from the source plan. It also refreshes fields that are used for row and swimlane organization. However, it does not automatically regroup or re-sort rows and swimlanes unless you trigger a re-computation on the Rows and Swimlanes tab of the Chart Properties form.

All Properties (Confirm) Mode

In this mode, OnePager performs the same functions as in the All properties mode but requests individual confirmation from you before each change is performed. This is quite laborious and is very rarely used. OnePager uses the updated source plan to REPLACE snapshots.

Push Update Method

One method that the OnePager Add-in uses is called the Push Update. By push we mean that the updated source plan is Pushed to OnePager.

Pull Update Method

This distinction is important since OnePager also enables the Pull Update method.

Replacing a Snapshot via Push Update with OnePager Pro Add-in

The workflow for accomplishing this periodic process is shown below:

1) Launch OnePager from Microsoft Project and select the UPDATE button on the OnePager Pro Start form as shown below:

2) Clicking the UPDATE button displays a list of recently-used charts and the word BROWSE FILES…option.
3) Select the desired chart as shown above and OnePager accesses the OnePager choices (OPC) form shown here:

4) It is an excellent idea before proceeding further to check to make sure that the desired Microsoft Project source plan is selected and showing in the form depicted above. If changes need to be made, click the Add/Remove button to get access to controls allowing you to add or remove Microsoft Project source plans before going further. Select the REPLACE existing snapshot at date: radio button as shown above and use the snapshot selection dropdown list to select the date of the snapshot to replace as shown below:

5) Once REPLACE existing snapshot at date: is selected, the OnePager choices (OPC) form displays the Replace mode commands as shown above. The next step is to select what is to be replaced. Choose one of the three options discussed above. We recommend using Dates and Progress unless you have changed the name labels of task bars and milestone symbols in the chart from the Microsoft Project source plan.

6) Then, click Next> or Replace dates at the bottom of the OPC form depending on whether the Show field mappings checkbox is checked ON. OnePager imports the data under the control of the Flag/Number field and replace the selected snapshot. Once the chart is displayed and available, you can edit, save, and copy the chart to a PowerPoint slide or elsewhere as described previously. When you save the chart, the replaced snapshot is stored in the chart’s .TAM file along with all its other snapshots.

Replacing a Snapshot via Push Update with OnePager Pro Standalone

The workflow for accomplishing this periodic process is shown below:

1) Launch OnePager Pro from the Standalone Icon.
2) The OnePager splash page appears briefly followed by the OnePager Chart Editor form displaying the OnePager Pro Start form.
3) Select the UPDATE button on the OnePager Pro Start form as shown below:

When you 'save the chart, the replaced snapshot is stored in the chart’s .TAM file along with all its other snapshots.

Replacing a Snapshot via Push Update Using OnePager Bundle Add-in

OnePager Bundle Add-in supports REPLACING a Snapshot using the Push Update for charts created from Microsoft Project or Microsoft Excel source plans. The procedures and workflow for REPLACING a Snapshot to these charts using the Push Update is the same as REPLACING a Snapshot to charts originally created by OnePager Pro Add-in or OnePager Express Add-in. Accordingly, the instructions for REPLACING a Snapshot to charts built from Microsoft Project or Microsoft Excel using the Push Update can be found at these two links respectively:

Replacing a Snapshot via Push Update Using OnePager Bundle Standalone

OnePager Bundle Standalone supports REPLACING a Snapshot to charts created originally from Microsoft Project, Microsoft Excel, Oracle Primavera P6, and Smartsheet source plans.

Using OnePager Bundle to REPLACE a Snapshot in Charts Created from Microsoft Project or Microsoft Excel using the Push Update

The procedures and workflow for REPLACING a Snapshot to charts originally created from Microsoft Project or Microsoft Excel source plans is the same as push updating a chart originally created by OnePager Pro Standalone or OnePager Express Standalone. Accordingly, the instructions for Push Updating charts built from Microsoft Project or Microsoft Excel can be found at these two links respectively:

Using OnePager Bundle to REPLACE a Snapshot in Charts Created from Oracle Primavera P6 using the Push Update

The power of OnePager is illustrated when, after a period of progress on the project, it is time to produce another chart. OnePager produces your next snapshot with the same look and feel as the original assuming that the Oracle Primavera P6 source plan was updated with actual start and finish, percent complete, and other relevant data during the reporting interval. OnePager can easily generate a new snapshot.

Suppose, after examining the chart you created and saved, you realize that it might be best to show more task bars. This, you think, would greatly improve your schedule presentation. Updating the chart at this point is simple. Recall that OnePager is active and the Chart Editor is displaying the current chart you want to update. At this point the updated Oracle Primavera P6 source plan should be updated and its updated XER or XML file exported to some file location on your computer. The original chart looked like this:

Since Oracle Primavera P6 is still an active program and the Oracle Primavera P6 source plan you are using is still being displayed, go back to the Oracle Primavera P6 application and change the Flag20 field setting from blank to Yes for the activities you want to now import and display. A section of the Oracle Primavera P6 source plan where this is done is shown below:

Once you’ve made the Flag20 changes to Activity ID's A1050 through A1080 in the Oracle Primavera P6 the source plan looks like this:

With the Oracle Primavera P6 source plan updated, export the source plan as an XER file with the same name as the original Oracle Primavera P6 source plan file. Next, go back to OnePager and navigate to the Data ribbon tool bar tab where you see several buttons. To update your chart to show the additional task bars from your Oracle Primavera P6 source plan, click the Replace Snapshot button as shown below:

When you click the Replace Snapshot button, OnePager accesses the Oracle Primavera P6 XER file you just changed and exported, imports all the activities that changed, and updates your chart. At the conclusion of the operation, the updated chart looks like this:

The example above is just one of many uses of the Data ribbon tool bar tab’s Replace Snapshot button when you need to update a chart. You can do this as many times as necessary until the chart is the way you need it. In addition to adding and removing activities by changing the Oracle Primavera P6 Flag20 field, you can change source plan activity Start, Finish, or Percent Complete and display these data changes in the chart. Using the procedure above you can do this very efficiently. You can now save the chart by giving it a save name. When you save the chart in, OnePager saves the .TAM and saves the Oracle Primavera P6 source plan name and path information. This is useful when you want to further update the chart or when you want to add a snapshot later on. In the examples below we assume that the chart is saved as BlueGrass Project Report - P6.

Using OnePager Bundle to REPLACE a Snapshot in Charts Created from Smartsheet using the Push Update

The power of OnePager is illustrated when, after a period of progress on the project, it is time to produce another chart. OnePager produces your next snapshot with the same look and feel as the original assuming that the Smartsheet source plan was updated with actual start and finish, percent complete, and other relevant data during the reporting interval. OnePager can easily generate a new snapshot.

Suppose, after examining the chart you created and saved, you realize that it might be best to show more task bars. This, you think, would greatly improve your schedule presentation. Updating the chart at this point is simple. Recall that OnePager is active and the Chart Editor is displaying the current chart you want to update. At this point the Smartsheet source plan should be updated in Smartsheet online and saved. The original chart looked like this:

Since Smartsheet is still an active program and the Smartsheet source plan you are using is still being displayed, go back to the Smartsheet application and change the Show It field setting from blank to Yes for the tasks you want to now import and display. A section of the Smartsheet source plan where this is done is shown below:

Once you’ve made the Show It changes to Smartsheet Lines 8 through 15 the source plan looks like this:

With the Smartsheet source plan updated, go back to OnePager and navigate to the Data ribbon tool bar tab where you see several buttons. To update your chart to show the additional task bars from your Smartsheet source plan, click the Replace Snapshot button as shown below:

When you click the Replace Snapshot button, OnePager goes back to the Smartsheet source plan that you just changed, imports all the tasks that changed, and updates your chart. At the conclusion of the operation, the updated chart looks like this:

The example above is just one of many uses of the Data ribbon tool bar tab’s Replace Snapshot button when you need to update a chart. In addition to adding and removing tasks by changing the Smartsheet Show It field, you can change source plan task Start Dates, Finish Dates, or Percent Complete and display these data changes in the chart. This is useful when you want to further update the chart or when you want to add a snapshot later on. In the examples below we assume that the chart is saved as BlueGrass Project Report - Smart.
