This article addresses the creation of new charts from Microsoft Excel source plans. Although OnePager Express is used in the illustrations in this article, the workflows described in this article also apply to the OnePager Bundle when importing source data from Microsoft Excel.

Three new legend controls were added to OnePager:

This article has two major sections below. The first major section is for OnePager Express Add-In 7.2.1-72 and the second major section is for OnePager Express Standalone 7.2.1-72 Please use these links to navigate to the appropriate section based on how you are using OnePager.

:(1) The first provides more flexibility in presenting the legend in your project views and helps avoid clutter.

:(3) The third provides the ability to double-click on a task bar's or milestone symbol's color to bring up the Edit Legend Item form.
+
Launching OnePager Express Add-in
Controlling Duplication of Legend Items
+
Launch Microsoft Excel and access the desired Microsoft Excel source plan. Set a Flag field into the Microsoft Excel source plan. This is the Flag that OnePager uses to determine which rows to import. Determine which of the task/milestone rows in the plan are to be included and set the Flag cell to Yes for these while leaving the remainder of the task/milestone row’s Flag field set to No, 0, or blank. Click the OnePager button to launch OnePager to bring up the OnePager Express Start form.

1) The OnePager legend can show all task bar and milestone symbols even if several of them have the same color. This often resulted in unnecessarily busy-looking legends. We’ve added a control to the Template Properties and Project-View Properties (PVP) forms at the Legend tab giving you a checkbox to specifically tell OnePager Do not duplicate task/milestones. This is shown in the PVP form’s Legend tab below.
+

+
Alternatively, clicking the Template... button accesses a window with the Template which can be changed and saved.

2) As an example, the legend below shows both green milestone symbol items and green task bar items when the Do not duplicate tasks/milestones checkbox is not checked:
+

+

]

+
The Template's format is very similar to the OnePager Chart Properties form which is described elsewhere. It is, in fact, the source of what appears in the Chart Properties form. Once the desired changes to the current Template are made, save the Template. When you click the NEW button and OnePager displays a OnePager choices (OPC) form as shown below:

3) When the checkbox is checked, only the task bar for each color will appear in the legend. Legend items for milestone symbols will be suppressed as shown below:
+

+
It is recommended that the chart name selected refer to both the project and, perhaps, the audience that is viewing the completed chart. Notice that the Select Tasks with "YES" in field: is showing Show It as a default. Most users select Show It to tell OnePager which task/milestone rows to import but any Boolean fields or any Number field can be used. It is important that the Flag field number represented in this window correspond to the Flag field containing the Yes and No data placed in the Microsoft Excel source plan.

4) When this check box is unchecked, the legend will be updated to display new tasks/milestones that were added with new colors/symbols.
+
Click the Select button. OnePager then provides a dropdown menu for you to either select a recently used Microsoft Excel source plan or you can chose the BROWSE Excel Workbooks … option as shown below to select a desired Microsoft Excel source plan.

5) As shown above, for the Template Properties form’s Legend tab, the Do not update legend text when snapshot is added or replaced checkbox is also available there.

Introduction

This article addresses the creation of new charts from Microsoft Excel source plans. Although OnePager Express is used in the illustrations in this article, the workflows described in this article also apply to the OnePager Bundle when importing source data from Microsoft Excel.

This article has two major sections below. The first major section is for OnePager Express Add-In 7.2.1-72 and the second major section is for OnePager Express Standalone 7.2.1-72 Please use these links to navigate to the appropriate section based on how you are using OnePager.

Overview Flow Chart for OnePager Express Add-in

Launching OnePager Express Add-in

Launch Microsoft Excel and access the desired Microsoft Excel source plan. Set a Flag field into the Microsoft Excel source plan. This is the Flag that OnePager uses to determine which rows to import. Determine which of the task/milestone rows in the plan are to be included and set the Flag cell to Yes for these while leaving the remainder of the task/milestone row’s Flag field set to No, 0, or blank. Click the OnePager button to launch OnePager to bring up the OnePager Express Start form.

X71-7 2 1-71-(2)-11082021.png

Alternatively, clicking the Template... button accesses a window with the Template which can be changed and saved.

X71-7 2 1-71-(3)-11082021.png

The Template's format is very similar to the OnePager Chart Properties form which is described elsewhere. It is, in fact, the source of what appears in the Chart Properties form. Once the desired changes to the current Template are made, save the Template. When you click the NEW button and OnePager displays a OnePager choices (OPC) form as shown below:

X71-7 2 1-71-(4-1)-02082022.png

It is recommended that the chart name selected refer to both the project and, perhaps, the audience that is viewing the completed chart. Notice that the Select Tasks with "YES" in field: is showing Show It as a default. Most users select Show It to tell OnePager which task/milestone rows to import but any Boolean fields or any Number field can be used. It is important that the Flag field number represented in this window correspond to the Flag field containing the Yes and No data placed in the Microsoft Excel source plan.

The Snapshot date represents the time now or as-of date for the project report you are about to create. If the date created by OnePager does not reflect the status date required, change the date by using the calendar in the dropdown window. As the source plan changes later on, you can create additional snapshots to show changes consistently. Finally, note that the Show field mappings checkbox is checked as shown above. Checking this checkbox and pressing the Next> button accesses the form shown below:

X71-7 2 1-71-(5)-11082021.png

This allows you to change which Microsoft Excel source plan fields are used for various purposes such as task name and start date. The Edit current template button also gives you a second chance to change many more initial properties of the chart. Once these choices are confirmed or changed, click the Create new chart button and OnePager imports the flagged data and make the chart.

Once the chart is created, you can edit the chart such as by clicking shapes and then using the controls on the ribbon or right-clicking, double-clicking, or dragging the shapes. When the desired editing is complete, click the Copy to Clipboard button on the ribbon and paste the chart into a Microsoft PowerPoint presentation, email message, or Microsoft Word document. If the chart contains more than one page, you can choose to copy the entire document, the last page (current page), or a selected numerical page to the clipboard. OnePager can save all charts and snapshots after editing.

Overview Flow Chart for OnePager Express Standalone

X71-7 2 2-71-(1)-11082021.png

Launching OnePager Express Desktop

Set a Flag field into the Microsoft Excel source plan. This is the Flag that OnePager uses to determine which rows to import. Determine which of the task/milestone rows in the plan are to be included and set the Flag cell to Yes for these while leaving the remainder of the task/milestone row’s Flag field set to No, 0, or blank. Launch OnePager from the Standalone icon. The OnePager splash page appears briefly followed by the OnePager Chart Editor form displaying the OnePager Express Start form as shown below:

X71-7 2 2-71-(2)-11082021.png

When you click the NEW button and OnePager displays an abbreviated OnePager choices (OPC) form as shown below:

X70-7 2 2-70-(4)-08062019.png

Click the Select button. OnePager then provides a dropdown menu for you to either select a recently used Microsoft Excel source plan or you can chose the BROWSE Excel Workbooks … option as shown below to select a desired Microsoft Excel source plan.

X71-7 2 2-71-(5)-11082021.png

Clicking the BROWSE Excel Workbooks… option as shown above accesses a Windows Open form where you can select a Microsoft Project source plan to load as shown here:

X70-7 2 2-70-(6)-08062019.png

When you click the Open button on the Windows Open form above, OnePager loads the selected Microsoft Excel source plan and provide you with the OnePager choices (OPC) form so that you can confirm or change the settings before OnePager creates the new chart.

X71-7 2 1-71-(4-1)-02082022.png

As shown above, OnePager displays the loaded Microsoft Excel source plan in the Selected File(s) group of the OPC form. You can use the Add/Remove feature (described elsewhere) to modify the choice of Microsoft Excel source plan, add additional files to the package, and remove files from the package. Clicking the Add/Modify button brings up the Data source selection form as shown below:

X71-7 2 2-71-(8-1)-02082022.png

It is recommended that the chart name selected refer to both the project and, perhaps, the audience that is viewing the completed chart. Notice that the Select Tasks with "YES" in file: is showing Show It as a default.

If the date created by OnePager does not reflect the status date required, change the date by using the calendar dropdown window. As the plan changes later on, you can create additional snapshots to show changes consistently.

Finally, note that the Show field mappings checkbox is checked as shown above. Checking this checkbox and pressing the Next> button takes you to the form shown below:
