About Merging the Wrong Tasks into a Chart
+
Overview
OnePager Bundle can consistently create snapshots from period to period with updated information from a Microsoft Planner source plan. The tasks and milestones that are imported to OnePager in UPDATE mode should be the same set of tasks and milestones with, perhaps, some added or removed as the project moves forward.
+
One of the strength of OnePager Bundle is its ability to create compact visual representations of multiple projects from multiple single Microsoft Planner files. These can be several projects that belong to one program or they can be several projects and programs in an organization’s portfolio.

The Task ID Field
+
OnePager Bundle has the capability to build multi-project charts from individual Planner exported files.

OnePager tracks tasks and milestones from snapshot to snapshot though the Task ID field created from  source plan data.  The Task ID is created by OnePager from the Planner source plan data that are part of each exported source plan.  The Task ID field and its associated values are:
+

:* Not displayable by Planner,
+
Typically OnePager Bundle users who create source plans where multiple projects are contained in a single source plan differentiate between projects by relying on a user defined field to identify the different projects contained in the source plan. Upon import to OnePager Bundle, OnePager uses the designated user defined field to instruct the software how to recognize the different projects.  Unfortunately, at the present time, Planner does not make user defined fields found in Planner source plans available to OnePager Bundle.  Accordingly, the method for creating multi-project charts with OnePager Bundle from a single Planner source plans is not available to our customers.  Other more creative and intensive approaches can be configured using Planner native columns to fulfill the function of distinguishing projects or sub-projects in the single Planner source plan.
:* Automatically imported by OnePager with other task and milestone related data.
+
:* Used by OnePager Bundle Standalone to match tasks and milestones from one snapshot with updated source plan data imported to either replace the snapshot or to add a snapshot consistent with previous snapshots.
+

Task ID is not a field that is visible from Planner but is useable by OnePager as described above.  The concept used in OnePager for Planner is parallel to the concept use in OnePager Pro for Microsoft Project/Project Server and Microsoft Excel where the field UniqueID is usedThe OnePager.com Blog Posts for Microsoft Project and Microsoft Excel provide additional information and can be found at the links show at the end of this article:
+
Given the current constraint, our recommendation, should you have multiple projects embedded in a single Planner source plan, is to create separate Planner project files for these separate projects and use the procedure shown in the next sub-section.
 +

 +
OnePager has taken the initiative to contact Microsoft and request that they support the export of user defined fields to third party software and we request that our customers also reach out to Microsoft and do the sameFor more information, please see the information at the links given below:

One method for using a single Planner import source plan is to add a field to your source plan with a field name of Sub-Project, for example.  This name is recognized by OnePager and is utilized in multi-project Template Properties form shipped with the product.  An example Planner source plan with the Sub-Project field is shown below:

Sometimes you can make the mistake of accidentally updating a chart with tasks and milestones from the wrong Planner source plan.    Or with the wrong set of tasks and milestones from the right Planner source plan if you are making several charts from the same Planner source plan using several different sets of flag fields. When these situations arise, OnePager detects them by using the TaskID field from  source plan data to determine if additional tasks and milestones are being imported or if tasks and milestones are missing from the imported source plan supporting the update. Additional or missing tasks and milestones can cause the chart to suddenly appear messed up because it now displays many added new tasks and milestones that reside in many new rows and swimlanes.  Even the earlier snapshots are affected by these new rows and swimlanes.
+
After configuring your Planner source plan with the Sub-Project field and the necessary multi-project schedule data, you can create a useful multi-project chart by following the steps described in the next section.

A similar messed up chart can result from missing tasks and milestones as well. When this happens, the best idea is to immediately press the UNDO button above the OnePager ribbonThis action immediately restores the chart to how it was before all the unfamiliar tasks and milestones were merged.  Or you can simply close the messed up chart without saving it.  When you reopen the chart, the erroneous update is gone.
+
Launch OnePager Bundle and connect to your Planner accountSelect the NEW option on the OnePager Bundle Start form and select the Project for the Web multi-project file shown here:

To avoid this problem in the first place, OnePager can warn you before the wrong tasks and milestones are incorporated into the chart. To receive this warning, there is a checkbox in the Template Properties and Chart Properties form's Advanced tab that when checked ON assures that the Warning message shown below is displayed. The Chart Properties form's Advanced tab with the Set warning thresholds form is shown here:

The settings in the Set warning thresholds form are expressed in terms of percentage of extra tasks and milestones added and tasks and milestones that are missing.  If, during a merge operation these thresholds are exceeded, the warning message is displayed. You also have the option to set the warning thresholds in the Template Properties form's Advanced tab. The article links below provide more information on these topics:
+
Next, click the NEW button on the OnePager Bundle Start form.  This accesses the OnePager choices (OPC) form where clicking the Select command in the Please select a source file sub-control group enables you to BROWSE Microsoft Planner ... import source plans or to select a RECENT import source plan as shown here:

Setting Warning Thresholds
+
Before creating the NEW multi-project chart we must change the Template Properties form to support the creation of a chart from a multi-project source plan as described below.

The Advanced tab of the Template Properties or Chart Properties forms has a checkbox titled Warn of merging tasks as shown in the previous section.  This checkbox is accompanied by the Warning options button to the right. When this checkbox is checked ON, the button is active and when the Warning options button is clicked it accesses the Set warning thresholds form where you can set the percentage of extra and missing tasks necessary to provide you with the warning message discussed below.
+
Setting up the OnePager Template Properties Form for a Multi-Project Chart
<center></center>
+
As shown above, the OnePager choices (OPC) form does not show that a multi-project Template Properties form is being used. Before proceeding further we must change the Template Properties form's setting so that a multi-project Template Properties form is used to create the chart. This is done by clicking the Change button in the Starting Template group of the form as shown below:
<!--<center>P71-7_20_1-(2)-71-11162021.png</center>-->
+

Extra tasks are tasks that are present in the imported source plan but are not present in the current chart. Missing tasks are tasks that are present in the current chart but are not present in the imported source plan. Setting these percentages to 100% has the impact of turning the fixes and warnings off. Setting the percentages to 0% provides an assurance that any extra or missing tasks triggers the fixes and warnings feature.

 +
<!--<center>P71-8_5_3-71-(3B-1)-01092024.png</center>-->

When Merging Tasks Exceed the Thresholds
+
Clicking the Change button accesses the folder where OnePager stores Planner Template Properties forms distributed with the product as shown above. Select the Multi-Project Gantt Chart - Detailed entry in the window shown above and click the Open button at the bottom of the form. When you click the Open button on the Open form shown above, OnePager changes the current Template Properties form to the Multi-Project Gantt Chart – Detailed Template.

When the Warn on merging tasks checkbox is checked ON and your workflow involves merging tasks, OnePager looks to see if extra tasks are being imported or if missing tasks are not being imported when updating a snapshot. After making the calculation, OnePager Bundle Standalone shows a Warning form asking if you want to proceed with the update, cancel the update, or try to fix tasks that have been misidentified.
+
After changing the Template Properties selection, type in the title of the chart and assure that the Task Selection sub-control group's controls are set to import the tasks you need for your chart.

Warning Message Form
+
Use the Planner Source Plan to Create the Chart
The Warning message also gives you access to the See Extra and Missing Tasks form, shown below, so you can actually see the extra and missing tasks and milestones and make a fix, if possible.  OnePager Bundle Standalone is configured to issue the warning shown below if either of the thresholds in the Set warning thresholds form are exceeded.  In this example, the threshold is exceeded because either 100% of the imported tasks and milestones are extra or 100% of the existing tasks and milestones are missing:
+
You are now ready to create the multi-project chart.  First, click the Next> button (shown above) which takes you to the second page of the OPC form shown below:

<center></center>
+
<center></center>

+
<!--<center>P72-8_5_5-72-(4-2)-01092024.png</center>-->

At this point you have three (3) options:
+
Next, check your field mapping settings or make any Template Properties form adjustments.  When you are finished, click the Create new chart button on the second page. OnePager generates a multi-project chart that looks like this:

Continue Import
+

 +
<!--<center>P72-8_5_5-72-(5)-05192023.png</center>-->

Click the Continue import button to proceed with the import. By doing so you are accepting the differences between the current chart and the imported data that are about to update the chart.  This can lead to both new rows with new tasks and milestones and empty rows in the snapshot.
+
The chart above represents two separate projects using the swimlanes to organize the tasks/milestones for each project grouping. As the projects progress and additional projects are added, the additional swimlanes with their corresponding rows are added to the chart in future snapshots.

See and Fix It
+
Updating Charts Created from Multiple Projects in a Single Planner Import Source Plan
Click the See and fix it button to take a look at the specific extra and missing tasks and milestones before deciding to whether to continue or not.  You can sometimes also fix the issue if you notice that an extra task is actually a missing task in disguiseIn that case, you can tell OnePager Bundle Standalone to map a missing task to the extra task.  These actions are explained in the See Extra and Missing Tasks form discussed below.
+
Eventually you want to update your multi-project chart by either adding a snapshot or replacing a snapshotTo perform either the add or the replace snapshot, the processes described in these two referenced article references that follow can be used.

The key to making updates to multi-project charts from multiple-projects contained in a single Planner source plan is the proper management of the Planner source plan data in the source packet.  Recall that the source packet contains the import source plan or import source plans that are to be used to either create or update a chart.  They are stored as file names and path names in the chart’s .TAM file, and can be accessed from the OnePager Data ribbon tool bar tab’s Selected file(s) button on the ribbon as shown below:

<!--<center>P72-8_5_5-72-(6-1)-01092024.png</center>-->
 +

 +
Validating the contents of the source packet and assuring that these are the Planner source plans that were updated is an essential step before proceeding to perform a chart update.-->

As the final option, you can click the Cancel import button to close the OnePager message form above and stop the import process.

Creating a Multi-Project Chart from Individual Single-Project Planner Import Source Plans
Continuing to Import Regardless of Extra or Missing Tasks
+
Introduction
Clicking the Continue import button tells OnePager to proceed with the import and disregard any differences between the set of current tasks in the chart and the set of selected tasks in the source plan being imported.  At the end of the import operation, you have an updated snapshot that was either added to the snapshot list or replaced.  You can expect to see some new rows containing the extra tasks or milestones and some empty rows corresponding to the missing tasks or milestones.  The latter can be automatically hidden if you have chosen the option Hide newly-empty rows on import on the Advanced tab page of the Chart Properties form.
+
Suppose you have multiple Planner source plans that are related and you want to create a single chart that shows the important schedule items and will be updated as the project proceeds.  Whenever chart updates are contemplated in the future OnePager requires that tasks being imported have unique task identifiers that OnePager can use to keep the updates alignedPlanner source plans have unique task identifiers built in and the data are imported when OnePager imports the Planner source plan.  OnePager makes these unique task identifiers available in the OnePager  Chart Editor as the Planner Task ID field which is discussed later.

Using the See Extra and Missing Tasks Form
+
Making a Multi-Project Chart from Separate Planner Source Plans
Clicking the See and fix it button in the message form accesses the See Extra and Missing Tasks form that lists the extra and missing tasks in two grids as shown below.  Usually a missing task is just an existing task in the chart that is not in the current import set because you decided you did not want to flag it for import.  Likewise, an extra task is usually just a task in the import set that you did not flag previously but now want to include in the updated chart.  In these cases, there’s nothing to worry about, and you can safely ignore the rest of the discussion below
+
To illustrate what is needed, let’s construct a multi-project chart from three (3) individual source plans for Project A, Project B, and Project C, shown below:

Wrong Source Plan or Wrong Flag Field
+
<center>Project A</center>

There’s also the case in which you have accidentally started an update using the wrong source plan or the wrong flag field. To continue can give you a big, unpleasant surprise! There can be lots of tasks that lost all of their formatting.  If the See Extra and Missing Task form shows lots of extra and missing tasks that don’t seem to belong together in the same chart, you probably need to cancel the update so that you can go back and choose the correct tasks to perform the update correctly.
+

 +
<!--<center>P72-8_5_5-72-(7)-10202023.png</center>-->

Mapping Extra Tasks to Missing Tasks
+
<center>Project B</center>

However, there are cases in which an extra task is actually a missing task that is misidentified because its ID has changed in the source plan between when the chart was first created and the current moment when source plan data are being used to make the update. When this happens, you are able to recognize the missing task that is really just the extra task with a different ID. In this situation, you almost always want the extra task to inherit all the properties of the missing task so that it retains the right formatting (i.e., color, shape, row assignment, and so on). You can do this by mapping these two tasks to each other.  If you see an extra task and then find a missing task that you recognize to be the same task but with a different ID, use the Map button in the form below to map the extra task to its corresponding missing task.
+

The form above has two grids (Extra Tasks and Missing Tasks), each of which has four columns.  The left-most column contains the row cells for selecting a grid row. The ID column contains the TaskID for the extra or missing tasks.  The Task name column contains the task's name label.  The right-most column displays check marks for both members of a mapped pair. When the vertical scroll bar is present in the form it means there are more entries in the grid than displayed in the form's Extra or Missing Tasks window. For convenience, clicking the column headers for the ID and Task name columns reverses the sort sequence for the column and it's associated grid rows. To map an extra task to the missing task that goes with it, follow these steps:
+
<center></center>
 +
<!--<center>P72-8_5_5-72-(8B)-10202023.png</center>-->

:1) Use your mouse to select one task from the Extra Tasks grid row by clicking the extra task’s selection cell.
+
Important Note
:2) Then go to the Missing Tasks grid row and click the selection cell of the missing task that goes with extra task.
+
Each of the Planner source plans above have unique Planner Task ID fields with unique numbers generated by OnePager at source plan import.  It is important throughout the use of these Planner source plans that these assigned unique Planner Task ID numbers remain with their respective tasks.  Dates can change in the Planner source plan's rows along with other updated information as the projects progress, but the Planner Task ID number must remain associated with the task activity.  Tasks can be deleted, but the deleted Planner Task ID should not be reused for a later snapshot.  OnePager can process out of sequence Planner Task ID numbers.

:3) Once two rows are selected, the Map button is enabled.  Click the Map button to map the two tasks to each other.
+
Setting up the One Pager Template Properties Form for a Multi-Project Chart
Notice that check marks now appear in the Mapped column for both grid rows. Also notice that the name of the button changes from Map to Unmap, indicating that you can change your mind and remove the mapping you just created. You can repeat the procedure above as many times as needed provided there are pairs of tasks available in the Extra Tasks grid rows and Missing Tasks grid rows.  After matching a pair and clicking the Map button, when you select the second task in the next pair notice that the button labeled Unmap is relabeled to Map thus enabling the mapping function once more. To review all your mappings, select any mapped task in either grid.  Notice that it's paired task in the other grid is automatically selected and that the Unmap button is now enabled.  This lets you see what is mapped to what and to remove mappings that should not be there.
+
The next step is to select and update an appropriate Template Properties form.

When you are satisfied with all the mappings between extra and missing tasks, associated missing tasks, click the Done button to confirm and go back to the Warning message form where the process started. When you finished this matching process and returned to the Warning message form, click one of the three buttons as described below:
+
For this illustration we’ve selected the Multi-Project Gantt Chart – Detailed for Planner Template Properties form.  Once the current Template Properties form is established as a multiple-project Template Properties form, go to the Rows/Swimlanes tab and make sure that the Group rows into swimlanes and Label swimlanes by windows are set to Project name.
 +
The Rows/Swimlanes tab in the Template Properties form looks like this:

:* Clicking the Continue import button tells OnePager to proceed with the remaining import process and use any matched missing and extra tasks or milestones to preserve formatting.
+
<center></center>
:* Clicking the Cancel import button stops the import process and returns you to where you started the update process (i.e. chart or Start form).
+
<!--<center>P72-8_5_5-72-(9)-10202023.png</center>-->
:* Clicking the See and Fix It button takes you back to the See Extra and Missing Tasks form so that you can review, add, or remove mappings.
+

Notes
+
When the steps above are completed and the Template Properties form for is updated, click the Save and use button to make the modified Template Properties form the current Template.

During any import and update operation, OnePager can find extra tasks and no missing tasks.  Or it can find missing tasks and no extra tasks.  In these situations, the Warning message is still displayed and the option to click the See and fix it button is still available.  However, there is no way to fix anything because one of the grids in the See Extra and Missing Tasks form is empty.  When you view the See Extra and Missing Tasks form in such situations, it shows you the extra or missing tasks, but it does not instruct you to map anything.  In this case, the form is for informational purposes only.

Overview

One of the strength of OnePager Bundle is its ability to create compact visual representations of multiple projects from multiple single Microsoft Planner files. These can be several projects that belong to one program or they can be several projects and programs in an organization’s portfolio.

OnePager Bundle has the capability to build multi-project charts from individual Planner exported files.

Creating a Multi-Project Chart from a Multi-Project Microsoft Planner Import Source Plan

Given the current constraint, our recommendation, should you have multiple projects embedded in a single Planner source plan, is to create separate Planner project files for these separate projects and use the procedure shown in the next sub-section.

OnePager has taken the initiative to contact Microsoft and request that they support the export of user defined fields to third party software and we request that our customers also reach out to Microsoft and do the same. For more information, please see the information at the links given below:

After configuring your Planner source plan with the Sub-Project field and the necessary multi-project schedule data, you can create a useful multi-project chart by following the steps described in the next section.

Launch OnePager Bundle and connect to your Planner account. Select the NEW option on the OnePager Bundle Start form and select the Project for the Web multi-project file shown here:

Creating a NEW Chart from a Multi-Project Source Plan

Next, click the NEW button on the OnePager Bundle Start form. This accesses the OnePager choices (OPC) form where clicking the Select command in the Please select a source file' sub-control group enables you to BROWSE Microsoft Planner ... import source plans or to select a RECENT import source plan as shown here:

P72-8 5 5-72-(3)-10202023.png

For this illustration, we'll select the source plan named BlueGrass Excel Project Plan - RSF (on Planner). When we do this, the OPC form is expanded to look like this:

P72-8 5 5-72-(3A)-10202023.png

Before creating the NEW multi-project chart we must change the Template Properties form to support the creation of a chart from a multi-project source plan as described below.

Setting up the OnePager Template Properties Form for a Multi-Project Chart

As shown above, the OnePager choices (OPC) form does not show that a multi-project Template Properties form is being used. Before proceeding further we must change the Template Properties form's setting so that a multi-project Template Properties form is used to create the chart. This is done by clicking the Change button in the Starting Template group of the form as shown below:

P71-8 5 3-71-(3B-1)-01092024.png

Clicking the Change button accesses the folder where OnePager stores Planner Template Properties forms distributed with the product as shown above. Select the Multi-Project Gantt Chart - Detailed entry in the window shown above and click the Open button at the bottom of the form. When you click the Open button on the Open form shown above, OnePager changes the current Template Properties form to the Multi-Project Gantt Chart – Detailed Template.

After changing the Template Properties selection, type in the title of the chart and assure that the Task Selection sub-control group's controls are set to import the tasks you need for your chart.

Use the Planner Source Plan to Create the Chart

You are now ready to create the multi-project chart. First, click the Next> button (shown above) which takes you to the second page of the OPC form shown below:

P72-8 5 5-72-(4-2)-01092024.png

Next, check your field mapping settings or make any Template Properties form adjustments. When you are finished, click the Create new chart button on the second page. OnePager generates a multi-project chart that looks like this:

P72-8 5 5-72-(5)-05192023.png

The chart above represents two separate projects using the swimlanes to organize the tasks/milestones for each project grouping. As the projects progress and additional projects are added, the additional swimlanes with their corresponding rows are added to the chart in future snapshots.

Updating Charts Created from Multiple Projects in a Single Planner Import Source Plan

Eventually you want to update your multi-project chart by either adding a snapshot or replacing a snapshot. To perform either the add or the replace snapshot, the processes described in these two referenced article references that follow can be used.

REPLACING a Snapshot via Pull Operation
ADDING a Snapshot via Pull Operation

The key to making updates to multi-project charts from multiple-projects contained in a single Planner source plan is the proper management of the Planner source plan data in the source packet. Recall that the source packet contains the import source plan or import source plans that are to be used to either create or update a chart. They are stored as file names and path names in the chart’s .TAM file, and can be accessed from the OnePager Data ribbon tool bar tab’s Selected file(s) button on the ribbon as shown below:

P72-8 5 5-72-(6-1)-01092024.png

Validating the contents of the source packet and assuring that these are the Planner source plans that were updated is an essential step before proceeding to perform a chart update.-->

Creating a Multi-Project Chart from Individual Single-Project Planner Import Source Plans

Introduction

Suppose you have multiple Planner source plans that are related and you want to create a single chart that shows the important schedule items and will be updated as the project proceeds. Whenever chart updates are contemplated in the future OnePager requires that tasks being imported have unique task identifiers that OnePager can use to keep the updates aligned. Planner source plans have unique task identifiers built in and the data are imported when OnePager imports the Planner source plan. OnePager makes these unique task identifiers available in the OnePager Chart Editor as the Planner Task ID field which is discussed later.

For more information on Planner Task ID, please see the section in the article at:

The Planner Task ID Field 7.22.1-72A

Making a Multi-Project Chart from Separate Planner Source Plans

To illustrate what is needed, let’s construct a multi-project chart from three (3) individual source plans for Project A, Project B, and Project C, shown below:

Project A
P72-8 5 5-72-(7)-10202023.png
Project B
P72-8 5 5-72-(8)-10202023.png
Project C
P72-8 5 5-72-(8B)-10202023.png

Important Note

Each of the Planner source plans above have unique Planner Task ID fields with unique numbers generated by OnePager at source plan import. It is important throughout the use of these Planner source plans that these assigned unique Planner Task ID numbers remain with their respective tasks. Dates can change in the Planner source plan's rows along with other updated information as the projects progress, but the Planner Task ID number must remain associated with the task activity. Tasks can be deleted, but the deleted Planner Task ID should not be reused for a later snapshot. OnePager can process out of sequence Planner Task ID numbers.

Setting up the One Pager Template Properties Form for a Multi-Project Chart

The next step is to select and update an appropriate Template Properties form.

The Rows/Swimlanes tab in the Template Properties form looks like this:

P72-8 5 5-72-(9)-10202023.png

When the steps above are completed and the Template Properties form for is updated, click the Save and use button to make the modified Template Properties form the current Template.

Create a Multi-Project Chart from Separate Multiple Planner Import Source Plans

Launch Planner and Load the First Planner Import Source Plan

Launch Planner, open the first of the multi-project Planner source plans, and make any editing changes necessary. In this case it’s the Project A file.

Next, launch OnePager Bundle. The OnePager Bundle Start form appears.

Click the NEW button which accesses the OnePager choices (OPC) form as shown below:

P72-8 5 5-72-(10)-10202023.png

Note that the Project A Planner source plan appears in the Selected File(s) group and that the Add/Remove button is active.

Adding the Second and Third Planner Import Source Plans

Click the Add/Remove button which accesses the Data source selection form as shown below:

P72-8 5 5-72-(11)-10202023.png

We want to now add the other Planner source plans to the source packet. To do this, click the ADD button in the Data source selection form. Navigate to the desired source plans, select them, and then click the Open button as shown below:

P72-8 5 5-72-(12)-10202023.png

After you’ve completed placing the second and third Planner source plan into the source packet, the window in the Data source selection form looks like this:

P72-8 5 5-72-(13)-10202023.png

When you click the OK button above, the OPC form is updated to reflect that three (3) source plans are in the source packet and the title for the new chart that we typed in as shown here:

P72-8 5 5-72-(14)-05192023.png

Create the NEW OnePager - Planner Multi-Project Chart

When you click the Next> button, OnePager goes to the second page of the OPC form where you can confirm other settings or make any Template Properties form setting changes.

When these confirmations are complete, click the Create new chart button. The chart looks like this with some edits to add a text column to show the Phases in each project:

P72-8 5 5-72-(15)-05192023.png

Once you merge all your projects into a single snapshot, you can now add a new snapshot to the chart to show how tasks changed.

Updating a Chart Created from Multiple Planner Import Source Plans

Eventually you want to update your multi-project chart by either adding a snapshot or replacing a snapshot with updated data. To perform either the add or the replace snapshot, the processes described in these two referenced article references that follow can be used.

REPLACING a Snapshot via Pull Operation
ADDING a Snapshot via Pull Operation

The key to making updated multi-project charts from multiple Planner source plan is the proper management of the Planner data in the source packet. Recall that the source packet contains the source plan(s) that are to be used to either create or update a chart.

They are stored as file names and path names in the chart’s .TAM import source plan and can be accessed from the Data tab’s Selected file(s) button on the ribbon as shown below:

P72-8 5 5-72-(16)-10202023.png

Validating the contents of the source packet and assuring that these are the Planner source plans that were updated is an essential step before proceeding to perform a project update.
