Changes to Snapshot-Dependent Properties for Conditional Formatting for OnePager for Version 7.2

Introduction

Illustrations used in this article are from OnePager Pro using data from Microsoft Project but the features, function, controls, and manual edits apply equally to other OnePager editions that import from data sources like Microsoft Excel, Microsoft Project for the Web, Smartsheet, Oracle Primavera P6, Planisware Enterprise, Asana, and Wrike.

This article discusses the changes to the task bar properties that OnePager now treats as snapshot-dependent as a result of the enhancements to conditional formatting rules in Version 7.2 and later of OnePager Pro, OnePager Express, and OnePager Bundle.

About Snapshot-Dependent Properties

In previous versions of OnePager prior to Version 7.2, there are fourteen (14) task bar properties that are considered snapshot-dependent. These fourteen (14) properties are:

  • Start Date
  • Finish Date
  • Baseline Start
  • Baseline Finish
  • %Complete
  • Critical-Path
  • Deadline Date
  • Endpoints
  • Task Links
  • Task/Milestone Color
  • Task Bar/Milestone Symbol
  • Task/Milestone Height %
  • Task/Milestone Border
  • Task/Milestone Fill Pattern
  • Task/Milestone Label Properties

With the enhancements made to conditional formatting rules in Version 7.2 and later, it becomes apparent that additional properties of tasks bar/milestones symbols in the chart should be treated as snapshot-dependent. By doing so, the user is afforded more flexibility in creating charts with snapshots that convey changes occurring in their projects as they move through time from status period to status period. The purpose of this article is to describe these additional snapshot-dependent properties that are available for use with the enhanced conditional formatting rules.

Additional Snapshot-Dependent Properties

Following is a complete list of the additional task bar/milestone symbol properties that are treated as snapshot-dependent in all editions of OnePager Version 7.2 and later:

  • Task Label Show/Hide
  • Start Date Label Show/Hide
  • Finish Date Label Show/Hide
  • Baseline Show/Hide
  • Baseline Color
  • Task Bar Baseline Symbol
  • Milestone Symbol Baseline Symbol
  • %Complete Show/Hide
  • %Complete Color
  • Critical-segment Show/Hide
  • Critical-segment Color
  • Deadline Show/Hide
  • Endpoint (1-4) Show/Hide
  • Deadline Symbol
  • Endpoint (1-4) Milestone Symbol

Snapshot-Dependent Properties Made Available Through Conditional Formatting Rules

OnePager Version 7.2 and later enhanced the capabilities of Conditional Formatting Rules. Accordingly, it is possible to have additional OnePager properties handled as snapshot-dependent when used in the three (3) sets of Conditional Formatting Rules forms. Following is the list of properties that are now snapshot-dependent in conjunction with Conditional Formatting Rules:

  • Row Background Color (Stripes)*
  • Swimlane Background Color (Stripe)*
  • Swimlane Cell Background Color*
  • Swimlane Cell Font Properties
  • Text Column Cell Background Color
  • Text Column Cell Values:
  • Symbol
  • Symbol Color
  • Symbol Border
  • Font Properties
  • Text to Display

The three (3) properties listed above that are tagged with an asterisk (*) are only snapshot-dependent if they are controlled by a Conditional Formatting Rule. Manual formatting changes apply to all snapshots.

Example Using Conditional Formatting for Tasks & Milestones

As a simple example, suppose we want to highlight %Complete values in the chart that are fifty percent (50%) or less by changing the %Complete bar’s color in the task bar from the default yellow to red. Suppose further that the current OnePager chart looks like this:

In the above chart, the %Complete values are, indeed, less than or equal to 50% so we can construct a Conditional Formatting for Tasks & Milestones rule that can change the Percent complete bar in the task bar to the color red as follows:

Setting Up the Conditional Formatting Rule

First, access the Chart Properties form and navigate to the Task Bars tab as shown below:

In the Chart Properties form’s Task Bars tab assure that the Mirror format changes between task bars and milestones checkbox is checked ON and Applied to the chart. This makes it easier to apply the Conditional Formatting rules to both task bars and milestone symbols.

Creating the Conditional Formatting Rule and the Required Actions

Next, access the Conditional Formatting for Tasks & Milestones form by clicking the Conditional Formatting Manage Rules… button at the bottom of the tab shown above. This action accesses the Conditional Formatting for Tasks & Milestones form shown below in its extended Advanced mode:

The next step is to create a condition rule in the condition columns of the form which expresses the conditional formatting rule we require as shown here:

With the rule condition entered into the form, click the Percent Complete cell to access the Percent Complete form as shown below:

The illustration above is accessing the Percent Complete form and changing the color of the percent complete bar in the appropriate task bars from yellow to the color red.

The next step is to click OK on the Percent Complete form which adds the action conditions to the Conditional Formatting for Tasks & Milestones form which now looks like this:

Applying the Conditional Formatting Rule to the Chart

Now click the OK button on the Conditional Formatting for Tasks & Milestones form and Apply or OK on the Chart Properties form to apply the conditional formatting rule to the chart which afterward looks like this:

The conditional formatting rule just applied to the chart changes all %Complete bar that have values less than or equal to 50% to the color red.

Adding Another Snapshot to the Chart

Now, continuing the example further, suppose that in the next reporting period the Assemble Resources and Create Working Plans tasks become both 75% complete. If this is the case, when we create the snapshot for the next reporting period the chart looks like this:

As other tasks record %Complete values, hopefully, higher than 50%, their %Complete bars are changed from color red to color yellow by the conditional formatting for tasks & milestones rule supporting the chart.
