Using Multiple Level Rows and Swimlanes
As with previous version of OnePager Express, version 7.0 of OPX can be launched from a Desktop icon as well as from within Microsoft Excel (Add-in). Please note that after selecting the Desktop icon launch option that you are not able to launch the OnePager Add-in application.  Only one of these applications (Add-in or Desktop) can be active at a time.  If you attempt to launch both, a warning message appears as shown below.

This article introduces you to OnePager’s version 7.0 multiple level rows and swimlane management features. Using rows and swimlanes is a common way to organize your chart so that task bars and milestone symbols in the rows can be grouped together in an organized fashion like a work breakdown structure.

Schedule Presentation Considerations
<!--<center>X70-3_0_2_2-70-(1A)-07162019.png</center>-->
+

Before you launch OPX, however, you must have certain scheduling fields in your Microsoft Excel source plan.    There is a lot of flexibility in how these fields can be named.   A typical example is shown below.  The only mandatory fields are field representing Start, Finish, and Name.   In this example, however, we are also including three optional fields:
+
It is always important to give consideration to your schedule presentation's goals and objectives and select the chart organization that best meets these.  If you are anticipating using one or more swimlane levels in a OnePager version 7.0 chart, the organization and structure of the selected swimlane levels and the information they are to present are key decisions. It may be that no swimlane levels are need in the chart at all or that just one or two meets your goal and objectives.  Once the desired chart organization is determined, the steps below are provided as guidelines for creating the most beneficial chart. The steps follow the organization of the Template Properties form and the Chart Properties form's Rows/Swimlanes tab such that you can start establishing your settings in the top control group and work your way through them from top to bottom left to right.

:* A category field (Category) used to assign colors to tasks.
+
Creating Charts Using Rows and Swimlanes
:* A selection field (Show It) used to choose which tasks to graph.
+
:* A Task ID field that OnePager uses to keep track of tasks/milestones as your Microsoft Excel source plan is change through additions or deletions over the course of the project.
+

<center></center>
+
As the Rows/Swimlanes tab above illustrates, there is a step-wise approach to constructing an informative and useful OnePager Pro or Express chart. The general methodology is for you to create or modify the chart by making setting determinations based upon the goals and objectives you intend to meet with your schedule conversation:
<!--<center>X70-3_0_2_1-70-(2A-1)-07102019.png</center>-->
+

To control which tasks get graphed, you must specify a Flag field (e.g. Show It) that you wish to use.  Numeric fields can also be used the same as the text fields where a 1 in a Number field indicates Yes and a 0 in a Number field indicates No.  See how this is done in the illustration above. When making your first chart, we strongly recommend that you select 50 or fewer tasks with Yes. Please note that OPX is shipped with a number of fully populated Template Properties forms that are based on the Microsoft Excel source plan used in the tutorial also shipped with the product – BlueGrass Project Plan. The following table describes field-heading types that OPX uses and shows variations on the heading titles that OnePager recognizes.   It is not mandatory that you used these field names, since OPX gives you a chance to choose the actual Microsoft Excel source plan fields that it employs.    However, using these names speeds things up because it helps OPX make reasonable guesses on which fields to use as its default selections.  Note that it shows that three of the field heading types must always be present: Name, Start, and Finish.  We recommend the inclusion of an ID field with sequential numbering from top to bottom.  This assists OnePager maintain a correspondence with Microsoft Excel’s rows after the Microsoft Excel source plan is updated.
+
:1) Determine carefully how the chart is going to look - swimlane levels, text columns, the collection of task bars into chart rows, and the grouping of rows into the chart's swimlane levels.
 +
 +
:2) Determine how source plan tasks are going to be collected and sorted into chart rows.  This determination includes determining if only one task bar occupies a chart row or if multiple task bars occupy a single row.

<center></center>

:3) Determine how chart's rows are going to be grouped into swimlane levels.
<!--<center>X70-3_0_3-70-(3)-12082020.png</center>-->
+

To launch OnePager Express Desktop click the OnePager Express button on the Desktop.  OnePager Express first displays a splash page and then takes you to the Chart Editor.
+
:4) Determine how many text columns are needed to adequately provide  information from the source plan for the audience without making the chart too busy.

<center></center>

:5) Determine how row and swimlane borders are going to be formatted.

<center></center>
+
The five step process suggested above can be iterative as OnePager assists you in these steps because you can always go back to the Chart Properties form after a chart creation iteration, reassess your settings, and make changes so the chart communicates with respect to your goals and objectives. The discussion that follows is divided into five (5) sub-sections, one each for the steps listed above.
<!--<center>X70-3_0_2_2-70-(3)-07162019.png</center>-->
+

The OnePager Express Start form provides you with three options:
+
Step 1 - Determine Carefully How the Chart Should Look
:1) NEW Clicking the NEW button accesses the OnePager Express choices (OPC) form.
+
In majority of schedule presentation situations when you anticipate using multiple swimlane levels, the organization of the swimlane levels and their associated source plan fields you are going to use are straight forward. When this is not the case, it is recommended that consideration be given to reviewing the goals and objectives of the schedule conversation where the chart is used and the information needs of audience members.  Every schedule presentation situation is different so our suggestion is to spend some time in Step 1 to layout how you are going to address the remaining steps. Adding swimlane levels can make the chart look busy and distract from the intended themeToo few swimlane levels can cloud the message you are trying to communicate. The same logic applies to the determination of how many text columns to include in the chart.
:2) UPDATE Clicking the UPDATE button allows you to BROWSE FILES for an existing chart file or select a recently-opened chart file.
+
:3) OPEN Clicking the OPEN button allows you to BROWSE FILES for an existing chart file or select a recently-opened chart file. Once selected and opened, the chart is available for editing.
+

Creating a New Chart
+
Since there are three (3) swimlane levels available, they appear in the chart from left to right as Left#1, Left#2, and Left#3 as shown in the Chart Properties form's Rows/Swimlanes tab above. The highest swimlane level in a chart is the left-most swimlane level and successively lower swimlane levels appear going to the right. This means that you are encouraged to place the highest organizational level of the chart in the left-most swimlane level and so on.  It can be useful to think of the multiple swimlane levels in the context of your project's Work Breakdown Structure. Doing so avoids repeating swimlane level cells within a lower swimlane level cell which can make the chart confusing and distract from it communication value. It is also recommended that you use as few swimlane levels as possible consistent with your schedule conversation message and the makeup of the audience.

Clicking the NEW button brings up the OnePager choices (OPC) form as shown below:
+
After making these decisions, OnePager keeps track and provides consistent charts whenever you update your source plan and create an additional or modified snapshot.

<center></center>
+
Step 2 – Collect Source Plan Tasks into OnePager Chart Rows
<!--<center>X70-3_0_2_2-70-(4)-07162019.png</center>-->
+

Options on the New OnePager Choices form
+
Collecting source plan tasks into rows in the chart is usually done by selecting the Gantt chart layout where each chart row contains one task bar.  You have the option to use the Timeline layout where multiple task bars occupy one row in the chart.

The OPC form to give you more options for selecting source plans.  The illustration above shows that OPX was initiated from Microsoft Excel with the source plan shown in the Selected File(s) group shown above.  he Add/Remove button gives you the capability to add more source plans to the source packet or, for multiple file packets, to remove files. Clicking the Select button displays a dropdown menu with a BROWSE FILES... option as well as a list of recently accessed Microsoft Project source plans as shown here:
+
Task Layout Sub-Control Group
<center></center>
+
The controls for making these settings are found in the Template Properties form or Chart Properties form at the Rows/Swimlanes tab's Rows control group's Task Layout sub-control group shown below:
<!--<center>X70-3_0_2_2-70-(5)-07162019.png</center>-->
+

If you select the BROWSE FILES... option, a Windows Open form appears from which you can select the desired Microsoft Excel source plan:
+
<center></center>
 +
<!--<center>P70-4_0_1_5-70-(1)-04302020.png</center>-->

<center></center>
+
For more information on Collecting Tasks into Rows, please see these articles at:  Creating and Editing Rows and Swimlanes (Portal) <!--12.0.1-70 --> and Collecting, Formatting, and Sorting Task/Milestones into Rows <!--12.01.1-70 -->
<!--<center>X70-3_0_2_2-70-(6)-07162019.png</center>-->
+

When you select the Microsoft Excel source plan and click the Open button on the Windows Open form, OPX loads the Microsoft Excel source plan and expands the OPC form as shown below:
+
Row Border Formatting...
<center></center>
+
The Row Border Formatting... button accesses the Row Formatting form as shown below:
<!--<center>X70-3_0_2_2-70-(6A)-07162019.png</center>-->
+

At this point you have additional options with respect to the expanded of the OPC form. The Add/Remove button gives you the capability to add more source plans to the source packet or, for multiple file, to remove files. Clicking the Add/Remove button accesses the Data source selection form as shown below:
+
<center></center>
 +
<!--<center>P70-4_0_1_5-70-(4)-05012020.png</center>-->

<center></center>
+
Row borders can be set at this point.  However, we recommend setting row and swimlane level borders in Step 5 discussed below. For more information on Row borders, please see the article at: Row and Swimlane Borders <!--12.04.1-70 -->

+

The Data source selection form displays the current source plan that was loaded with Microsoft Excel when you clicked the OnePager Express... button on the desktop and selected the first source plan as described above.  This form lets you Add more source Microsoft Excel source plan to create a multi-project chart or Remove a source plans from a multi-file source packet.  These options are detailed below.
+
Row Sorting Sub-Control Group
Adding a New Source Plan
+
Once the selection between Gantt chart and Timeline layout is made, you have additional controls over how rows are sorted.  Most OnePager Pro users select the option to Sort rows like Project to maintain correspondence with their source plan organization.  Most OnePager Express users select the option to Sort rows like Excel for the same reason. Selecting the Sort on field: allows you to select a source plan field upon which to base the sorting of rows in the chart.

When you click the Add button, OPX gives you the option to access a Windows Open form when you select the BROWSE FILES… option as shown here:
+
Rows are sorted chart-wise if there are no swimlane levels present. When one or more swimlane levels are present in the chart, rows are sorted within the lowest swimlane level only.  There are implications on sorting rows within the lowest swimlane level when there are task bars containing duplicate source plan field values in the set to be sorted.

<center></center>
+
For more information on collecting and sorting source plan tasks into OnePager chart rows, please see the article at:  Creating, Formatting, and Sorting Swimlanes Levels <!--12.02.1-70 -->
<!--<center>X70-3_0_2_2-70-(7)-07162019.png</center>-->
+

Clicking the BROWSE FILES… option displays a Window’s Open from which you can select a Microsoft Excel source plan to add to the source packet.  A sample Open form is shown below:
+
After task bar collection into chart rows and the sorting of rows are determined, you can move on to determine how chart rows should be grouped into swimlane levels.

<center></center>
+
Step 3 – Group Chart Rows into Swimlane Levels
<!--<center>X70-3_0_2_2-70-(8)-07162019.png</center>-->
+

When you select a desired Microsoft Excel source plan and click the Open button as shown above, OPX adds the file to the source packet and display it in the Data source selection window as shown below:
+
When the decision is made to incorporate swimlane levels in the chart as well as the number of swimlane levels, you can use the Swimlanes control group in the Chart Properties form's Rows/Swimlanes tab to implement these decisions. The Chart Properties form's Rows/Swimlanes tab's Swimlanes control group is shown below:

<center></center>
+
<center></center>
<!--<center>X70-3_0_2_2-70-(9)-07162019.png</center>-->
+
<!--<center>P70-4_0_1_5-70-(2)-04302020.png</center>-->

The selected file is added to the source packet as shown above.  OPX shows the path name of the source plans in the window if you hover the mouse over the source plan name. If you select a recently used file from the dropdown menu displayed with the Add button is clicked in the Data source selection form, OPX adds that source plan to the source packet.
+
Swimlane Level Sub-Tabs
Removing a Source Plan
+
Each sub-tab shown above as Left#1, Left#2, and Left#3 are identical in terms of their controls. Checking the Group by checkbox ON in the sub-tab enables the swimlane level and the other controls in the sub-tab. Use the window dropdown next to the Group by checkbox to implement your swimlane level decision with respect to how the chart's rows are grouped with respect to the source plan field to be used.

The Remove button allows you to remove a source plan from a source packet. if that source plan is not needed to create the new chart.  To remove a source plan, first select the source plan in the Data source selection form’s window so that it is highlighted in blue then click the Remove button as shown in the sequence below:
+
For more information on grouping chart rows into swimlane levels, please see the article at: Grouping Rows into Swimlanes <!--12.18.1-70 -->

<center></center>
+
Swimlane Formatting...
<!--<center>X70-3_0_2_2-70-(10)-07162019.png</center>-->
+

<center></center>
+
You can  now use the Swimlane Formatting... button to access the Swimlane Formatting - Left#n form to make settings pertaining to swimlane level heading cell labeling, swimlane level cell labeling,  and swimlane level border settings as shown below:
<!--<center>X70-3_0_2_2-70-(11)-07162019.png</center>-->
+

Other Choices to Make
+
<center></center>
 +
<!--<center>P70-4_0_1_5-70-(3)-04302020.png</center>-->

Moving on to the other groups of the OPC form, you are asked to confirm a few things before you build the chart. OPX makes good guesses for each of these choices, but you can change any of them:
+
Note in the illustration above that the form's title includes the swimlane level number. The Column Heading control group in the above form contains all the controls for OnePager to set the swimlane level heading cell's label or for you to select the text content for this location in the chart. Additionally, all the text formatting controls are provided in this sub-group. The Swimlane Text control group shown above in the middle section of the form, contains all the controls for setting the swimlane level cell's labels within the swimlane level.

<center></center>
+
The Label by: checkbox must be checked ON for the swimlane level to be shown in the chart and for the other controls in this control group to be enabled. As with the Column Heading control group, the Swimlane Text control group contains all the text formatting controls for the text content of swimlane level cells for level n in the chart.
<!--<center>X70-3_0_2_2-70-(15)-07162019.png</center>-->
+

Starting Template
+
The Swimlane Borders control group in the bottom section of the this form has all the controls for managing the borders associated with the swimlane level selected.  However, we recommend setting row and swimlane level borders in Step 5 discussed below.

The current Template Properties form determines which fields get imported from Microsoft Excel and how the initial chart looks. OPX ships with many sample Template Properties forms, but you can also customize your own Template Properties form. To choose which Template Properties form to use in building your chart, click the Change… button in the top group of the OPC form as shown here:
+
For more information on formatting swimlane components, please see the article at: Creating, Formatting, and Sorting Swimlanes Levels <!--12.02.1-70 -->

<center></center>
+
Swimlane Sorting Sub-Control Group
<!--<center>X70-3_0_2_2-70-(15A)-07162019.png</center>-->
+

For now, just stick with the default Template Properties form entitled Single Project Gantt View – Detailed, but you can always use a different Template Properties form to get a different type of chart.
+
Swimlane sorting  is done within swimlane levels involving all the rows found in the swimlane level. There are two swimlane level sorting options for OnePager Pro:  (1) Sort swimlanes like Project or (2) Sort on field.  For OnePager Express the swimlane level sorting options are: (1) Sort swimlanes like Excel or (2) Sort on field. Most OnePager Pro users select the option to Sort swimlanes like Project to maintain correspondence with their source plan organization. OnePager Express users select the option to Sort swimlanes like Excel for the same reason. Selecting the Sort on field: allows you to select a source plan field upon which to base the sorting of swimlane levels in the chart.  The options for sorting swimlane levels is only available if the swimlane level is showing in the chart.

Title of the New Chart
+
When one or more swimlane levels are present in the chart, rows are sorted within each swimlane level where sorting is to be performed by OnePager. Care should be exercised when sorting swimlane levels where there are multiple swimlane levels present in the chart.

This is the title of the graph and also the suggested source plan name in which it is saved. You can change the source plan name when you save it. We recommend that you enter a title that helps you identify the view later on.
+
For more information on sorting swimlane levels, please see the article at: Creating, Formatting, and Sorting Swimlanes Levels <!--12.02.1-70 -->

<center></center>
+
Step 4 – Determine Text Column Needs
<!--<center>X70-3_0_2_2-70-(15B)-07162019.png</center>-->
+

For each chart that you create, OnePager remembers colors, titles, legends, font sizes, and all other graph properties so that your work is saved. Later, you can update the chart with a snapshot of how the project looks on a different date. Then you can browse through the snapshots to see how the project is changing over time. OPX also saves the path name associated with the .TAM. Path names are not available in .TAM produced with previous version of OPX.
+
There are five (5) optional Text Columns that you can place to the right of any shown swimlane levels and to the left of the graph. Their purpose is to highlight information pertinent to rows in the graph and the task bars and/or milestone symbols in the chart's rows. A typical example for the content of two text columns is to show task bar start date and finish date as illustrated in the partial chart below:

Task Selection
+
<center></center>
 +
<!--<center>P70-0_4_1-(7)-06112020.png</center>-->

This is how you tell OPX which tasks from your Microsoft Excel source plan to include.
+
The controls for managing text columns are found in the Template Properties and Chart Properties form's Rows/Swimlanes tab at the Text Columns control group shown here:

<center></center>
+
<center></center>
<!--<center>X70-3_0_2_2-70-(15C)-07162019.png</center>-->
+
<!--<center>P70-4_0_1_5-70-(6)-05012020.png</center>-->

Either click the Select all tasks radio button to graph everything or choose a Flag field. You can make several charts from a single Microsoft Excel source plan, each using a different Flag or Number field.  In OPX if no Flags are set to Yes, OPX provides the user with a warning message shown below:
+
Text Columns Sub-Tabs
<center></center>
+
Each sub-tab shown above as Left#1, Left#2, Left#3, Left#4, and Left#5 are identical in terms of their controls. Checking the Display data from checkbox ON in the sub-tab enables the text column and the other controls in the sub-tab. Use the window dropdown next to the Display data from checkbox to implement your text column decisions with respect to the source plan data for the task bar or milestone symbol that are displayed.

 +
<!--<center>P70-4_0_1_5-70-(7)-05012020.png</center>-->

This is the date of the report and lets you keep track of how schedules change over time. The snapshot date is set by default as the current date taken from your computer. You can change the snapshot date by clicking on the dropdown button at the window shown in the illustration below:
+
Note in the illustration above that the form's title includes the text column number. The Column Heading control group in the above form contains all the controls for OnePager to set the text column heading cell's label or for you to select the text content for this location in the chart.  Additionally, all the text formatting controls are provided in this sub-group. The Column Text control group shown above in the bottom section of the form contains all the controls for setting the text columns cell's labels within the text column. As with the Column Heading control group, the Column Text control group contains all the text formatting controls for the text content of text column cells for level n in the chart.

<center></center>
+
There are no border controls in this form as text columns are considered part of a chart's row and the controls for row borders are contained in the Rows control group of the Chart Properties form's Rows/Swimlanes tab.
<!--<center>X70-3_0_2_1-70-(15F)-07112019.png</center>-->

Show Field Mappings
+
Text Type Formatting for Date and Numeric Formats
The Show field mappings checkbox is near the bottom of the form. When this box is checked you have a chance to review and change the Microsoft Excel field mappings to OPX before you make your first chart.  To do this, click the Next&gt; button.   You see the following screen:
+
When a text column's designated source plan field is a date type field, the Text Columns sub-group in the main form has an additional sub-group added for you to edit the date field as it appears in the text column cells. This is shown in the illustration below:

<center></center>

+
<!--<center>P70-4_0_1_5-70-(6)-05012020.png</center>-->

Notice in the graphic above that OPX has relied on the current Template Properties form to make some guesses on what Microsoft Excel fields should be used in making the graph.    You can easily change any of these field mappings by making selections from the dropdown menus.  For example, we show below how to change the Color:
+
When a text column's designated source plan field is a numeric type field, the Text Columns sub-group in the main form has an additional sub-group added for you to edit the numeric field as it appears in the text column cells.  This is shown in the illustration below:

Making the Chart
+
Step 5 – Formatting Row and Swimlane Level Borders
Once you are satisfied with the field mappings, click on Create new chart button to import your selected data and create a chart.   After a very few moments you see a screen that looks like this:
+
As the final step in preparing your schedule discussion presentation chart with rows and swimlane levels is to choose row and swimlane borders.

<center></center>
+
Formatting Row Borders
<!--<center>X61-3_0_2_1-61-(17-1)-5022018.png</center>-->
+

Note that each task or milestone was color coded based on the value in the Category field.   The Legend contains an optional diagram near the bottom, explaining that the bars inside the Gantt bars represent percent complete extracted from Microsoft Excel.   Percent complete comes from a Microsoft Excel field that you specified in the field mappings form.  Note that the current Template Properties form, when you press the Create new chart button, is the Template for how things look in the new chart.  The Template Properties form’s Task Bars tab showing where the color control is located is shown below:
+
To format row borders click the Row Borders Formatting... button in the Rows control group of the Chart Properties form's Rows/Swimlanes tab to acccess the Row borders form again shown here:

<!--<center>P70-4_0_1_5-70-(9)-05012020.png</center>-->

Copying the Chart to PowerPoint
+
To show all row borders including the borders in text columns, check the Show Row Borders checkbox ON. This enables all the controls in the form. These controls include using the OnePager standard Color Chooser form to select the color for the row borders, the width control for the thickness of the row borders, and the Dash-type which has five (5) options. These controls apply to both the top and bottom row borders.  Be aware that row borders may be shared with swimlane level borders whose controls are discussed shortly.

Finally, copy the current snapshot to the clipboard click the Copy button on the Home ribbon as shown below:
+
Formatting Swimlane Level Borders
<center></center>
+
Swimlane border controls are provided for each swimlane level showing in the chart up to three (3). This means that there are three (3) Swimlane Formatting... forms available, one for each possible swimlane level shown. When the Swimlane Formatting... button is clicked, the associated Swimlane Formatting... form is accessed as shown below:
<!--<center>X70-3_0_2_1-70-(32A)-07112019.png</center>-->
+

Then launch Microsoft PowerPoint and paste the clipboard copy of the graph into a PowerPoint slide, as shown below:
+
<center></center>
 +
<!--<center>P70-4_0_1_5-70-(10)-05012020.png</center>-->

<center></center>
+
To show a swimlane level's borders, check the Show Borders checkbox ON. This enables all the controls in the form. These controls include using the OnePager standard Color Chooser form to select the color for the swimlane level borders, the width control for the thickness of the swimlane level borders, and the Dash-type which has five (5) options. These controls apply to both the top and bottom swimlane level borders.  Caution: Be aware that swimlane level borders may be shared with other swimlane level borders and with row borders as mentioned above.
<!--<center>X61-3_0_2_1-61-(32)-5032018.png</center>-->
+

That’s it! You have now created a professional 1-page schedule summary from a complex Microsoft Excel schedule and have copied it into a PowerPoint presentation.    You can also print the graph by selecting the Print button on the File tab.  OnePager has other features that let you move tasks vertically to different rows and swimlanes, change the number of swimlanes, add swimlane titles, show dependencies among tasks, change task colors, hide tasks, add floating comment boxes, and standardize on graph styles across organizations.
+
For more information on managing swimlane level borders, please see the article at: Row and Swimlane Borders <!--12.04.1-70 -->

Other Borders in the Chart
Opening a Chart
+
The Inner Frame border and the Outer Frame border of the chart are managed by the controls in the Template Properties  and Chart Properties form's Main tab's Borders, frames, and time cursor properties button which accesses the Set line properties form shown here:

The right-most button on the OPC form is the OPEN button. Clicking the OPEN button displays a dropdown menu which happens to be the same for the NEW and UPDATE buttons. The options in the dropdown are discussed below:
+
<center></center>

+

Clicking the BROWSE FILES... option accesses a Windows Open form from which you can select a .TAM that you want to open.  Selecting the desired .TAM causes OPX to display the selected chart in the Chart Editor.  From this position, you can edit the chart, save it, or share it with others. Clicking any of the RECENT chart items the dropdown menu above causes OPX to load the associated .TAM into the Chart Editor where you can edit the chart, save it, or share it with others.

Replacing A Snapshot - Updating a Chart with Changes Made to the Microsoft Excel Source Plan's Data
+
Creating and Editing Rows and Swimlanes (Portal) <!--12.0.1-70 -->

Suppose after examining the chart you created and saved, you realize that it might be best to show more task bars.  This, you think, would greatly improve the schedule presentation. Updating the chart at this point is a simple matter.  Recall that OPX is active and the Chart Editor is displaying the current chart you want to update.  Additionally, the Microsoft Excel source plan and the application are active.  The original chart looked like this:
+
About OnePager's Rows and Swimlanes <!--12.0.2-70 -->

+
<center></center>
+
<!--<center>X61-3_0_2_1-61-(18B)-5022018.png</center>-->
+

+
Since Microsoft Excel is still an active program and the Microsoft Excel source plan you are using is still being displayed, go back to the Microsoft Excel application and change the Show It field setting for the rows you want to now display from No to Yes for the rows you want to now display.  As section of the Microsoft Excel source plan where this is done is shown below:
+

+
<center></center>
+
<!--<center>X61-3_0_2_1-61-(18C)-5022018.png</center>-->
+

+
Once you’ve made the Show It  field changes lines 7 through 15 in the Microsoft Excel the source plan looks like this:
+

+
<center></center>
+
<!--<center>X61-3_0_2_1-61-(18D)-5022018.png</center>-->
+

+
With the Microsoft Excel source plan updated, go back to OPX and navigate to the Data tab on the ribbon where there are several buttons.  To update your chart to now show the additional rows from your Microsoft Excel source plan click the Replace Snapshot button as shown below:
+

+
<center></center>
+
<!--<center>X70-3_0_2_1-70-(17C)-07112019.png</center>-->
+

+
When you click the Replace Snapshot button, OPX  goes back to the associated Microsoft Excel source plan that you just changed, imports all the rows that changed, and update your chart. At the conclusion of the operation, the updated chart looks like this:
+

+
<center></center>
+
<!--<center>X61-3_0_2_1-61-(18E)-5022018.png</center>-->
+

+
The example above is just one of many uses of the Data tab’s Replace Snapshot button when you need to update a chart.  And, you can do this as many times as necessary until the chart is the way you need it.  In addition to adding and removing rows by changing the Show It field, you can change source plan task Start Dates, Finish Dates, or Resource Names and display these data changes in the chart.  Using the procedure above you can do this very efficiently. You can now save the chart by giving it a save name.  When you save the chart in OPX, OnePager saves the .TAM and saves the Microsoft Excel source plan name and path information.  This is useful when you want to further update the chart or when you want to add a snapshot later on. In the examples below it is assumes that the chart is saved as BlueGrass Project Report - Express.
+

+
Adding a Snapshot - Adding to the Chart with Changes Made to the Microsoft Excel Source Plan's Data
+

+
The power of OPX is illustrated when, after a period of progress on the project, it is time to produce another chart.  OnePager produces your next snapshot with the same look and feel as the original.  Assuming that the Microsoft Excel source plan was updated with actual start and finish, percent complete, and other relevant data during the reporting interval, OPX can easily generate a new snapshot.  Suppose we have the following chart created on 11/1/2018 and we want to create another graph from the updated Microsoft Project source plan on 12/1/2018.
+

+
<center></center>
+
<!--<center>X61-3_0_2_1-61-(18F)-5022018.png</center>-->
+

+
Before creating a new snapshot for 12/1/2018 as planned, we need to update the Microsoft Excel source plan say by updating the Percent Complete for the following tasks to the percentage indicated:
+

+
:* Eng. Team 1 Dev. - 100%
+
:* Internal Perf. Test - 10%
+
:* Create MERLIN System - 100%
+
:* Create ADONIS System - 25%
+

+
When the source plan is updated with this revised information we can proceed. Launch OPX either from Microsoft Excel or from the Desktop icon and click the UPDATE button on the OnePager Express Start form.  Doing so accesses the following OnePager choices (OPC) form:
+

+
<center></center>
+
<!--<center>X61-3_0_2_1-61-(18G)-5022018.png</center>-->
+

+
In the OPC form above we selected the NEW snapshot at date: as shown.  You can want to select a current date for the snapshot so that this snapshot represents the project at the status date point in time.  To see which snapshot dates already exist, just position your mouse over the NEW snapshot-date: window to see a list of the existing dates.

+
<!--<center>X61-3_0_2_1-61-(18H)-5022018.png</center>-->
+

+
You can  use the built in calendar dropdown or type in the new snapshot’s month, day, and year in the window provided as shown below:

+
<!--<center>X61-3_0_2_1-61-(18I)-5022018.png</center>-->
+

+
Un-check the Show field mappings checkbox OFF if you want to use the same field mappings as you used before.    The bottom of the screen now looks like this:
+

+
<center></center>
+
<!--<center>P60-3_0_1-60-(26)-01252017.png</center>-->
+

+
Pressing the large New button creates a new snapshot for the chart.  The chart opens at the new snapshot.    The color, fonts, title, and swimlane assignments are consistent between the two snapshots:

Editing the Chart
+

+
Editing Text Label Font Sizes
+

+
You can edit the font sizes and text positions to optimize readability.  To do this, hold down the left mouse button and drag a selection box (Lasso) that encloses many tasks/milestones at once:
+

+
<center></center>
+
<!--<center>X61-3_0_2_1-61-(24)-5022018.png</center>-->
+

+
When you release the mouse, the enclosed tasks/milestones are all be selected:
+

+
<center></center>
+
<!--<center>X61-3_0_2_1-61-(25)-5022018.png</center>-->
+

+
Click on the Increase Font Size button on the tool bar shown below:
+

+
<center></center>
+
<!--<center>X70-3_0_2_1-70-(26)-07122019.png</center>-->
+

+
The chart now looks something like this:
+

+
<center></center>
+
<!--<center>X61-3_0_2_1-61-(27)-5022018.png</center>-->
+

+
Repeating this operation for the remaining tasks/milestones (we could have done Select All and done it all at once!), we obtain a chart with larger fonts on all the tasks/milestones:
+

+
<center></center>
+
<!--<center>X70-3_0_2_1-70-(28)-07122019.png</center>-->
+

+
Editing Text Label Positions
+

+
Another common editing action is to move the task bar text label from their current positions to positions elsewhere around or on the task bar. To do this, click the text label to select it and then click the Label Position button on the tool bar.  This action accesses the Label Position dropdown list where you can select one of the text-positioning buttons as shown here:
+

+
<center></center>
+
<!--<center>X70-3_0_2_1-70-(29-1)-09082020.png</center>-->
+

+
At this point, as an example, click the Left option in the dropdown and the selected text label is moved to the left side of the task bar as shown here:
+

+
<center></center>
+
<!--<center>X70-3_0_2_1-70-(29A)-07122019.png</center>-->
+

+
In case you change your mind about the last editing action you took, you can UNDO the last editing action by clicking the UNDO button above the OnePager tool bar.  Successive clicking the UNDO button undoes editing actions in the reverse order that they were applied.
+

+
<center></center>
+
<!--<center>X70-3_0_2_1-70-(31)-07122019.png</center>-->
+

+
Save the edited chart by pressing the Save button above the tool bar next to the UNDO button.  All of the font size changes, text-position edits, and the new Legend position are now saved in case you need to update this chart with new data at a later time.
+

+
Editing Other Chart Contents
+

+
The examples above are just samples of Chart Editor capabilities provided for editing within the chart.  Making other edits to task bars/milestone symbols and text labels are covered in more detail in this article:  Manual Editing Task/Milestone Shapes and Text Labels (Portal) <!--9.0.1-70 -->
+

+
Additionally, you can add task bar/milestone symbol information related to each task bar such as baseline data, percent complete information, and critical path information. You can add comment boxes to task bars, free floating comment boxes in the chart, vertical curtains, and background images. And you can change the chart's Start/End Dates, add or hide the Legend, and add time axes at the top, bottom, and within the graph. Further, you are able to edit task bar/milestone symbol shapes, you have at your disposal controls for editing rows/swimlanes, headers and footers in the chart, background colors, and other text information shown in the graph.

Displaying Data-Driven Task Links
+

OnePager Express 7.0 is enhanced to assist you with displaying Task Link dependencies from Microsoft Excel source plan data you provide.  Typically, this feature is turned OFF in all Template Properties forms distributed with OnePager.  However, the feature can be turned ON either before or after the creation of a chart. To turn the Data-Driven Task Link feature ON prior to creating a chart, go to the Template Properties form you plan to uses and click on the Task Links tab and then click the Import predecessors checkbox in the Data-Driven Task Links control group as shown below:

<!--<center>X70-3_0_2_1-70-(38-2)-09252020.png</center>-->
+

+
In the Template Task Link tab above there are two additional controls that need to be set to tell OnePager Express which data field you are using to express task dependencies in the form of predecessors and which dependency format you are using either (1) Microsoft Project or (2) Oracle Primavera.  These controls are in the form of dropdown menus as shown for the dependency format selector below:

<center></center>
+
<!--<center>X70-3_0_2_1-70-(38A-1)-09252020.png</center>-->
+

+
With the Import predecessors checkbox checked ON and the dependency data field and dependency format selections made in the Template Properties form, the chart first created looks like this:

<center></center>
+
<!--<center>X70-3_0_2_1-70-(39)-07122019.png</center>-->
+

+
To turn the Data-Driven Task Link feature ON after the chart is created, go to the Chart Properties form's Task Links tab and then click the Import predecessors checkbox in the Data-Driven Task Links control group as shown below:

<center></center>
+
<!--<center>X70-3_0_2_1-70-(40-2)-09252020.png</center>-->
+

+
Once imported, Data-Driven Task Links can be shown or hidden and can be edited globally using the Template Properties or Chart Properties forms as shown above or individually using a task link right-click context menu. OnePager Express 7.0 continues to support manual Task Links which in previous OnePager Express versions were called Event Links.

Editing the Time Axis
+

+
OnePager Express is also enhanced with new capabilities and feature so you can edit the time axis and configure it to focus on specific time periods of interest in your project schedule presentation. As an example of the enhancements made to the time axis is the addition of the time axis cell stretch feature where you can lengthen the horizontal extend of any time axis cell so as to provide more space to focus on details within that time period.  An example of a stretched lower level time axis cell is shown below:

Using Multiple Level Rows and Swimlanes

This article introduces you to OnePager’s version 7.0 multiple level rows and swimlane management features. Using rows and swimlanes is a common way to organize your chart so that task bars and milestone symbols in the rows can be grouped together in an organized fashion like a work breakdown structure.

Multiple Swimlane Level Feature

OnePager version 7.0 now supports three (3) swimlane levels versus the one (1) swimlane level supported in previous versions. An example of a chart with three swimlane levels is shown below:

P70-0 4-70-(20)-03102020.png

Supporting the new multiple swimlane level feature is a redesigned Template Properties and Chart Properties form's Rows/Swimlanes tab as shown below:

P70-4 0 1 5-70-(0)-04302020.png

Schedule Presentation Considerations

Creating Charts Using Rows and Swimlanes

As the Rows/Swimlanes tab above illustrates, there is a step-wise approach to constructing an informative and useful OnePager Pro or Express chart. The general methodology is for you to create or modify the chart by making setting determinations based upon the goals and objectives you intend to meet with your schedule conversation:

1) Determine carefully how the chart is going to look - swimlane levels, text columns, the collection of task bars into chart rows, and the grouping of rows into the chart's swimlane levels.
2) Determine how source plan tasks are going to be collected and sorted into chart rows. This determination includes determining if only one task bar occupies a chart row or if multiple task bars occupy a single row.
3) Determine how chart's rows are going to be grouped into swimlane levels.
4) Determine how many text columns are needed to adequately provide information from the source plan for the audience without making the chart too busy.
5) Determine how row and swimlane borders are going to be formatted.

Step 1 - Determine Carefully How the Chart Should Look

In majority of schedule presentation situations when you anticipate using multiple swimlane levels, the organization of the swimlane levels and their associated source plan fields you are going to use are straight forward. When this is not the case, it is recommended that consideration be given to reviewing the goals and objectives of the schedule conversation where the chart is used and the information needs of audience members. Every schedule presentation situation is different so our suggestion is to spend some time in Step 1 to layout how you are going to address the remaining steps. Adding swimlane levels can make the chart look busy and distract from the intended theme. Too few swimlane levels can cloud the message you are trying to communicate. The same logic applies to the determination of how many text columns to include in the chart.

After making these decisions, OnePager keeps track and provides consistent charts whenever you update your source plan and create an additional or modified snapshot.

Step 2 – Collect Source Plan Tasks into OnePager Chart Rows

Collecting source plan tasks into rows in the chart is usually done by selecting the Gantt chart layout where each chart row contains one task bar. You have the option to use the Timeline layout where multiple task bars occupy one row in the chart.

Task Layout Sub-Control Group

The controls for making these settings are found in the Template Properties form or Chart Properties form at the Rows/Swimlanes tab's Rows control group's Task Layout sub-control group shown below:

P70-4 0 1 5-70-(1)-04302020.png

For more information on Collecting Tasks into Rows, please see these articles at: Creating and Editing Rows and Swimlanes (Portal) and Collecting, Formatting, and Sorting Task/Milestones into Rows

Row Border Formatting...

The Row Border Formatting... button accesses the Row Formatting form as shown below:

P70-4 0 1 5-70-(4)-05012020.png

Row borders can be set at this point. However, we recommend setting row and swimlane level borders in Step 5 discussed below. For more information on Row borders, please see the article at: Row and Swimlane Borders

Row Sorting Sub-Control Group

Once the selection between Gantt chart and Timeline layout is made, you have additional controls over how rows are sorted. Most OnePager Pro users select the option to Sort rows like Project to maintain correspondence with their source plan organization. Most OnePager Express users select the option to Sort rows like Excel for the same reason. Selecting the Sort on field: allows you to select a source plan field upon which to base the sorting of rows in the chart.

For more information on collecting and sorting source plan tasks into OnePager chart rows, please see the article at: Creating, Formatting, and Sorting Swimlanes Levels

After task bar collection into chart rows and the sorting of rows are determined, you can move on to determine how chart rows should be grouped into swimlane levels.

Step 3 – Group Chart Rows into Swimlane Levels

When the decision is made to incorporate swimlane levels in the chart as well as the number of swimlane levels, you can use the Swimlanes control group in the Chart Properties form's Rows/Swimlanes tab to implement these decisions. The Chart Properties form's Rows/Swimlanes tab's Swimlanes control group is shown below:

P70-4 0 1 5-70-(2)-04302020.png

Swimlane Level Sub-Tabs

Each sub-tab shown above as Left#1, Left#2, and Left#3 are identical in terms of their controls. Checking the Group by checkbox ON in the sub-tab enables the swimlane level and the other controls in the sub-tab. Use the window dropdown next to the Group by checkbox to implement your swimlane level decision with respect to how the chart's rows are grouped with respect to the source plan field to be used.

For more information on grouping chart rows into swimlane levels, please see the article at: Grouping Rows into Swimlanes

Swimlane Formatting...

You can now use the Swimlane Formatting... button to access the Swimlane Formatting - Left#n form to make settings pertaining to swimlane level heading cell labeling, swimlane level cell labeling, and swimlane level border settings as shown below:

P70-4 0 1 5-70-(3)-04302020.png

Note in the illustration above that the form's title includes the swimlane level number. The Column Heading control group in the above form contains all the controls for OnePager to set the swimlane level heading cell's label or for you to select the text content for this location in the chart. Additionally, all the text formatting controls are provided in this sub-group. The Swimlane Text control group shown above in the middle section of the form, contains all the controls for setting the swimlane level cell's labels within the swimlane level.

The Label by: checkbox must be checked ON for the swimlane level to be shown in the chart and for the other controls in this control group to be enabled. As with the Column Heading control group, the Swimlane Text control group contains all the text formatting controls for the text content of swimlane level cells for level n in the chart.

The Swimlane Borders control group in the bottom section of the this form has all the controls for managing the borders associated with the swimlane level selected. However, we recommend setting row and swimlane level borders in Step 5 discussed below.

For more information on formatting swimlane components, please see the article at: Creating, Formatting, and Sorting Swimlanes Levels

Swimlane Sorting Sub-Control Group

When one or more swimlane levels are present in the chart, rows are sorted within each swimlane level where sorting is to be performed by OnePager. Care should be exercised when sorting swimlane levels where there are multiple swimlane levels present in the chart.

For more information on sorting swimlane levels, please see the article at: Creating, Formatting, and Sorting Swimlanes Levels

Step 4 – Determine Text Column Needs

There are five (5) optional Text Columns that you can place to the right of any shown swimlane levels and to the left of the graph. Their purpose is to highlight information pertinent to rows in the graph and the task bars and/or milestone symbols in the chart's rows. A typical example for the content of two text columns is to show task bar start date and finish date as illustrated in the partial chart below:

P70-0 4 1-(7)-06112020.png

The controls for managing text columns are found in the Template Properties and Chart Properties form's Rows/Swimlanes tab at the Text Columns control group shown here:

P70-4 0 1 5-70-(6)-05012020.png

Text Columns Sub-Tabs

Each sub-tab shown above as Left#1, Left#2, Left#3, Left#4, and Left#5 are identical in terms of their controls. Checking the Display data from checkbox ON in the sub-tab enables the text column and the other controls in the sub-tab. Use the window dropdown next to the Display data from checkbox to implement your text column decisions with respect to the source plan data for the task bar or milestone symbol that are displayed.

For more information on text columns, please see the article at: Editing Text Columns or Swimlane Labels

Text Column Formatting...

You can now use the Text Column Formatting... button to access the Text Column Formatting - Left#n form to make settings pertaining to text column heading cell labeling and text column cell labeling settings as shown below:

P70-4 0 1 5-70-(7)-05012020.png

Note in the illustration above that the form's title includes the text column number. The Column Heading control group in the above form contains all the controls for OnePager to set the text column heading cell's label or for you to select the text content for this location in the chart. Additionally, all the text formatting controls are provided in this sub-group. The Column Text control group shown above in the bottom section of the form contains all the controls for setting the text columns cell's labels within the text column. As with the Column Heading control group, the Column Text control group contains all the text formatting controls for the text content of text column cells for level n in the chart.

There are no border controls in this form as text columns are considered part of a chart's row and the controls for row borders are contained in the Rows control group of the Chart Properties form's Rows/Swimlanes tab.

For more information on formatting text columns, please see these articles at:

Snapshot-Dependent Text Columns for OnePager Pro Snapshot-Dependent Text Columns for OnePager Express
Resizing the Width of Text Columns and Swimlanes

Text Type Formatting for Date and Numeric Formats

When a text column's designated source plan field is a date type field, the Text Columns sub-group in the main form has an additional sub-group added for you to edit the date field as it appears in the text column cells. This is shown in the illustration below:

P70-4 0 1 5-70-(6)-05012020.png

When a text column's designated source plan field is a numeric type field, the Text Columns sub-group in the main form has an additional sub-group added for you to edit the numeric field as it appears in the text column cells. This is shown in the illustration below:

P70-4 0 1 5-70-(8)-05012020.png

Step 5 – Formatting Row and Swimlane Level Borders

As the final step in preparing your schedule discussion presentation chart with rows and swimlane levels is to choose row and swimlane borders.

Formatting Row Borders

To format row borders click the Row Borders Formatting... button in the Rows control group of the Chart Properties form's Rows/Swimlanes tab to acccess the Row borders form again shown here:

P70-4 0 1 5-70-(9)-05012020.png

To show all row borders including the borders in text columns, check the Show Row Borders checkbox ON. This enables all the controls in the form. These controls include using the OnePager standard Color Chooser form to select the color for the row borders, the width control for the thickness of the row borders, and the Dash-type which has five (5) options. These controls apply to both the top and bottom row borders. Be aware that row borders may be shared with swimlane level borders whose controls are discussed shortly.

Formatting Swimlane Level Borders

Swimlane border controls are provided for each swimlane level showing in the chart up to three (3). This means that there are three (3) Swimlane Formatting... forms available, one for each possible swimlane level shown. When the Swimlane Formatting... button is clicked, the associated Swimlane Formatting... form is accessed as shown below:

P70-4 0 1 5-70-(10)-05012020.png

To show a swimlane level's borders, check the Show Borders checkbox ON. This enables all the controls in the form. These controls include using the OnePager standard Color Chooser form to select the color for the swimlane level borders, the width control for the thickness of the swimlane level borders, and the Dash-type which has five (5) options. These controls apply to both the top and bottom swimlane level borders. Caution: Be aware that swimlane level borders may be shared with other swimlane level borders and with row borders as mentioned above.

For more information on managing swimlane level borders, please see the article at: Row and Swimlane Borders

Other Borders in the Chart

The Inner Frame border and the Outer Frame border of the chart are managed by the controls in the Template Properties and Chart Properties form's Main tab's Borders, frames, and time cursor properties button which accesses the Set line properties form shown here:

P70-4 0 1 5-70-(11)-05012020.png

For more information on managing Inner and Outer chart borders, please see the article at: Main Tab
